What do mailing programs do?

Even the best mailings will not be effective without proper technical support. Mailing programs are tools that are specifically tailored to mass mailing. They enable the creation and management of a subscriber base, as well as the creation and management of mailing lists and mailing campaigns. The mailing program offered by Smart Webtechnologies is also a very useful tool for analyzing statistics of the campaigns we run.

Creating and managing a subscriber database in a mailing program is very intuitive. There are no limits here when it comes to the number of subscribers that can be added to the database. The Smart Webtechnologies mailing program enables quick database editing and management of individual users. The mailing software also allows you to create and manage any number of mailing lists independently.

Adding a new user to the mailing program database

Adding a user to the mailing application database is very easy. Just enter his email address in the add menu. If we want a new user to join our mailings, we must then assign him to the given mailing list and add the mailing list to the selected campaign.

User management in the mailing application

Each of the users added to the database can be given one of three statuses. A confirmed user is the user to whom the mailings are sent. An unconfirmed user is the one who has subscribed to the list but has not yet confirmed his email address. The blocked user is the one who has resigned from receiving emails. The mailing program allows you to manually block the user through the management panel, in addition, the user can opt out of receiving emails by clicking on the link added to the message.

Coordination of users in the mailing program

User coordination is a very useful mailing program tool that allows you to perform operations on many users at once. As part of user reconciliation, we can mark subscribers as confirmed, move users to new lists, blacklist them (useful for subscribers who have more than a certain number of error messages), and delete those subscribers whose email address is incorrect.

Creating mailing lists in mailing software

Mailing lists are nothing but a list containing the email addresses of a specific group of users. They are used to define to which users the campaign should be sentThe mailing program allows you to create an unlimited number of mailing lists that can have their own separate names and descriptions. To create a new list, just add it in the list menu, define its parameters and add the email addresses of the users you need.

Placing one user on multiple mailing lists

A very useful function of mailing software is the ability to place one user in many mailing lists at once. Thanks to this, one e-mail address can be used in various mailing campaigns. To do this, simply enter the user’s properties and add to it all the mailing lists on which it is to be located.

Importing addresses to mailing software

Addresses can be imported into the mailing program database in three ways:

  • Copy and paste the list of email addresses into the import field
  • Upload a file with email addresses
  • Import the data file in CSV format

Exporting addresses

The mailing program allows not only importing addresses, but also quick export of all addresses from the database or only those from the selected mailing list. A useful feature of the mailing application is also the ability to export user addresses that meet specific parameters (e.g. user registration time frames).

How to create mailing campaigns in the mailing program?

The process of creating a new mailing campaign in mailing software consists of several stages. At every stage of campaign creation, you can also check the results of your work so far – the mailing program allows you to send a test message, thanks to which you can quickly see what our message looks like.

  1. In the first window of creating a campaign, define the title of the campaign, the sender, as well as the content of the campaign and the footer. The graphically developed HTML editor in the mailing program is extremely intuitive to use and has many elements known from programs of Word type. The mailing application allows you to add a link to each campaign to a different page and a special link that allows subscribers to opt out of receiving messages.
  2. In the second window, we can define the format of the sent message (HTML / text), as well as a template that will make our mailings visually attractive. The graphic design of mailings is an important element affecting the success of the campaign. Templates can be created in the “Templates” tab. The mailing application allows the use of a large number of templates and their selection depending on the needs of the campaign. You can also set one of the templates as the default template.
  3. In the next screen we can plan the campaign time parameters. Here we set when the mailing should start and when it should stop (after sending or sooner).
  4. In the next window, we select lists with users who will receive messages.
  5. The last window is a summary of the entire campaign – we can check all previous settings here before the final shipment.

Mailing program in relation to campaign management and statistics

Campaign management in the mailing program involves, among others, controlling the sending of emails (starting, stopping and resuming sending). The mailing application automatically divides campaigns into completed (sent), active and sketches of these campaigns, so managing the whole is even easier.

Smart Webtechnologies mailing software also has a very useful tool to track the effects of a mailing campaign. In the statistics of the campaign, you can see, among others, the time of dispatch, the number of messages sent, the number of open messages, the number of links clicked, as well as the number of returns. Statistics of message views not only shows us how many messages sent were displayed, but also who (what email address) displayed our message. We can also check how many times the link generated in the message was clicked, and see who clicked and when it happened. The mailing program also has domain statistics, which shows how many users in the application are in a particular domain.
